Before taking the steps to offer your items, please read the following disclosure:
We understand that many of the items being loaned may hold sentimental or personal value. If there are any items you would prefer attendees not have direct access to, we would be happy to work with you to accommodate that request. We can position and secure special items in a way that allows them to be displayed and appreciated without being handled or removed from their place within the exhibit.
We will be monitoring weather conditions very closely. However, as we all know, Alberta weather can be unpredictable, and conditions can change rapidly. While we will make every reasonable effort to protect all loaned items and are currently developing contingency plans, we cannot guarantee that items displayed at the venue will never be exposed to unforeseen circumstances.
Potential risks may include, but are not limited to, rain, wind, lightning, hail, wildlife, accidental damage, or theft. By loaning items for display, owners acknowledge that these risks, while unlikely, cannot be entirely eliminated.
Please let us know if you would prefer that your item(s) be used only for the Diamond Valley Congregation's Delegate Day.
At present, the general plan is to leave most, if not all, decorations in place for use during the Okotoks Congregation's Delegate Day on the following day. However, we cannot guarantee that a member of the Diamond Valley Congregation will be present overnight on Monday or throughout Tuesday to supervise or monitor the display, as many volunteers will have convention assignments and responsibilities that require their attention elsewhere.
Our intention is to return to the venue as soon as possible after the Okotoks delegates depart on Tuesday evening and begin dismantling the display so that decorations and loaned items are not unnecessarily exposed to the elements. However, because many volunteers will also be attending to their own convention assignments and responsibilities, some items may need to remain at the venue until after the convention has concluded.
Rest assured that all loaned items have been catalogued and documented. Even if items cannot be returned immediately, the plan is to have them removed from the display, properly stored, and protected from the elements until arrangements can be made to retrieve and return them to their owners.

How encouraged we feel when we meet new brothers and sisters—talking together, sharing hugs, laughing and even shedding a few tears—only to walk away with friendships that can last forever.
There are some who, for various reasons, would love to be part of our day but are unfortunately unable to join us. We thought a beautiful way to include them—and to provide a meaningful gift for our delegates—would be through letter writing.
This gives us the opportunity to share what we might have expressed in person as part of our united family under Jehovah. You may choose to share how you came to learn the truth, your personal story, your family life, or experiences that have strengthened you during difficult times. You might include encouraging thoughts, ask questions, or even add photos of your family or the area where we live.
These letters will be placed in the delegates’ gift bags, allowing them to receive encouragement and get to know their brothers and sisters even after the day has passed.
